Position Description
Coordinate and execute events with staff who prepares food, beverages and services for general dining, meetings, courses, administrative staff & public affairs related functions. Working in conjunction with the Bar, Event, Purchasing & Kitchen services supervisors.
Position Responsibilities
Receive & process Meetings & Courses requests
Oversee and provide support for Event and Conference staff
Maintain Meeting & Course event database and calendar
Coordinates with client to make event arrangements including location, menus, cost estimates, and itinerary.
Plan, coordinate, and execute all Meeting and Course related events and activities - i.e. general dining meals, luncheon buffets, dinner buffets, wine and cheese parties, banquets, ancillary luncheons and dinners for organizers, brunches, Course event requests including barbecues and picnics at locations on main campus and satellite campus sites.
Purchase event related materials and equipment (including rentals)
Provide development support when constructing menus, room layouts, and décor.
Coordinates the booking of rooms in Blackford Hall
Provides support to the Event Manager which involves
Scheduling of event staff
Staff performance input
Overall event analysis and feedback
Monitoring execution of events as performed
Weekly review of payroll reports
Training and supervising of new and existing event staff of 20- 30 people
Coordinate & monitor service itineraries
Additional events as assigned by the Event Manager

Work schedules will be coordinated with the Event Manager according to events and seasonal needs of the department. You may be required to work weekends, evenings and holidays

MINIMUM JOB REQUIREMENTS:
EDUCATION: Associate’s Degree
EXPERIENCE: Two years experience in restaurant and/or hotels, two years as assistant coordinator
OTHER: Ability to speak and understand the Spanish language is helpful.
KNOWLEDGE/ SKILLS REQUIRED TO DO THE JOB:
Principles and practice of supervision
Work & staff scheduling
Buffet, catering & conference center service procedures
Proper sanitation procedures – Nassau County sanitation certification preferred
Organization skills.
Diplomacy and tact.
Telephone & Social etiquette
Hospitality related service etiquette
Computer literate.
Operation of departmental computer database.
Familiarity with the facilities on the Laboratory’s various campuses
Able to interact with a wide variety people of diverse cultures, ethnic and professional profiles.
NYS alcoholic beverage service training – TIPS preferred (Training for Intervention Procedures) trained
Nassau County Sanitation certificate
